Beyond guidance: Tabula expands its focus to whole-of-business management
For many agricultural contractors, GPS guidance has become an essential part of day-to-day operations. Accurate steering, reduced overlaps and improved efficiency have delivered significant gains over the past two decades. Yet while machinery has become increasingly connected inside the cab, many contractors continue to manage the wider business using a patchwork of separate systems, spreadsheets, messaging apps and paper records.
New Zealand technology company Tabula believes that gap is becoming one of the biggest barriers to productivity in modern contracting businesses, and its latest suite of tools is aimed squarely at addressing it.
Based in Hawke’s Bay, Mosgiel and operating globally, Tabula has built its reputation around field operations technology, providing live tracking, mapping and hazard management systems across agriculture, horticulture, aviation and emergency response sectors. The company’s latest release represents a significant expansion beyond traditional GPS guidance, bringing a range of operational management tools together within a single platform.
The thinking behind the development is relatively straightforward. While contractors have become increasingly efficient at managing machinery movements, many still face challenges around communication, administration and the flow of information between the office and the field.
According to Tabula Chief Executive and Executive Chairman Michael Whittaker, the industry has traditionally viewed machinery guidance as the end goal when, in reality, profitability depends on the performance of the wider operation.
“For decades, the agricultural sector has viewed in-cab machinery tracking as the ultimate goal, but true profitability requires looking beyond the machine,” Whittaker says.
“Contractors run complex operations, where a single communication breakdown directly hits their gross margins. We developed this suite to serve as a complete operational system, connecting planning, navigation and field data capture to maximise daily productivity and run safer, more efficient operations.”
The latest release introduces several new tools designed to mirror how work flows throughout a typical contracting day.
One of the additions is an operational checklist system that allows businesses to deploy customised pre-start checks, risk assessments and asset inspections directly to operators through the company’s Field Support App. Responses can be completed in the field and recorded electronically, providing a consistent process across multiple staff and machines.
Another new feature is Tabula Navigate, which the company describes as an industry-first approach to operator navigation. Rather than simply providing directions between locations, the system incorporates hazard information and can automatically reroute operators when required, helping improve safety while reducing delays.
Communication has also been a major focus of the update.
The new Field Support App extends connectivity beyond machinery operators, allowing staff working on foot to remain connected with job progress and wider team activity. Supporting that is Tabula Messaging, which enables users to exchange messages, photographs and updates directly within the platform itself. Rather than relying on multiple third-party applications, communication remains linked to the specific task or job being undertaken.
Task management functionality has also been expanded, allowing contractors to monitor activities beyond vehicle-based operations through either Tabula Online or the Field Support App. This reflects the reality that much of a contracting business now extends beyond machinery operation alone and includes maintenance, logistics, compliance and staff management.
One of the more practical additions for many businesses will be integrated timesheet recording. Staff can log hours worked and breaks directly through the app, while managers are able to review, approve and export records for payroll processing.
Field data capture is another area receiving attention. The new system allows contractors to create data collection points for assets such as fuel tanks, materials and specific locations, helping maintain live inventory information without relying on paper records or separate logging systems.
Importantly, these additions sit on top of Tabula’s existing platform rather than replacing it. Core features including live tracking, farm and infrastructure mapping and real-time hazard management remain central to the system. Active hazard alerts can continue to be delivered directly into the cab, helping operators identify and avoid risks while working.
The broader objective appears to be reducing the amount of duplicated administration that occurs across many contracting businesses.
Capturing information once, at the point where work occurs, creates opportunities to improve both operational efficiency and record keeping. It also has compliance benefits, particularly as customers increasingly expect detailed proof of work and accurate job documentation.
Tabula says the end-to-end flow of information allows reporting to become a natural by-product of daily operations rather than a separate administrative exercise. Accurate job records and timesheets can then integrate directly with accounting software such as Xero, reducing manual data entry while ensuring work completed is fully accounted for.
For contractors operating in an environment of rising costs and ongoing labour pressures, the release highlights a growing shift in technology development. Increasingly, software providers are looking beyond machine performance alone and focusing on the wider business systems that influence profitability.
GPS guidance may still be a critical component of modern contracting, but as operations become larger and more complex, the challenge is often less about keeping machinery straight in the paddock and more about keeping people, information and jobs moving efficiently throughout the day.
